What a good trade quote includes

A defined scope

Describe the work, quantities and job address clearly. List exclusions so the edge of the job is visible.

Firm numbers

A quote is a fixed offer, while an estimate is a guess. Record prices, GST treatment and the validity date.

Written changes

Set deposit and payment terms, then require variations to be agreed in writing before extra work starts.

Once the work is done, turn the agreed figures into a tax invoice. For site hazards, build a risk assessment.

Quote template questions

What should a trade quote include?

Include who is doing the work, who the customer is, the job address, a clear scope, itemised quantities and prices, GST treatment, how long the quote is valid, exclusions, payment terms and how variations will be agreed.

What is the difference between a quote and an estimate?

A quote is a fixed offer for a defined scope. An estimate is a best guess based on the information available. Put fixed things in writing and state clearly what is excluded or may change.

How long should a quote stay valid?

Choose a period that matches how long you can reasonably hold labour and material pricing. This template starts at 30 days, but you can edit the date for the job.

Should a quote show GST?

If the business is registered for GST, show the GST component and the total including GST. If it is not registered, do not add GST. Check your registration and current requirements before sending the quote.

Can I change the starter terms?

Yes. The deposit, validity, exclusions and variations lines are editable prompts. Replace them with terms that fit the actual job and your business.
